How Do Wait Lists and Pools Work?
WAIT LIST
When a tournament is full, a Wait List may be started. If a withdraw or opening occurs, it will be filled first from those on the wait list. In order to get onto the wait list, you must register, and pay, just like you would if you were registering for the event itself.
If you don’t get in, you will receive a full refund, less the (currently) $1.34 fee the registration website keeps. You can request a refund if you are on the wait list and get a full refund at any time. Once you are bumped to the full registration though, a withdraw at that point will be subject to the normal handling procedures listed at the registration website. (Typically a fee with less than 6 days before event and no refund less than 24 hours before the event.) If you get bumped in to the event with less than 24 hours before it starts, the handling fees for withdraws will not apply to you, unless you specifically confirm that you will be playing. If you are on the waitlist, but don’t show up the morning of the event, and then could get in due to a no-show or drop out, you will still receive your refund.
There can be times when a tournament is so full, that even the wait list is full. The wait list is not an indefinite number. Typically it is kept to only 5 for tournaments with Pools, 6-8 for tournaments with no pools.
Example 1
You are on the waitlist. A withdraw happens three days before the event. You get bumped in because of that withdraw. An email will automatically be sent to you, and your name will appear on the registration list. If you choose to drop out at this point, a handling fee will apply because you were bumped into the event greater than 24 hours before it started. If you don’t show up, you are subject to the ‘No Show, No Refund’ rule.
Example 2
You are on the waitlist and don’t get in prior to the 24 hour cut off for registration. The morning of, there is a no-show and you would be the first one in. Since you were not in as of the 24 hour cutoff, you will not be penalized for not showing – because you are on the wait list and didn’t know for sure. If you are there and checked in, you would get in. If you were not there, or didn’t check in, you would not be in, but would receive a full refund a few days later when the tournament paperwork is finalized.
Example 3
You are on the waitlist and are bumped in less than 24 hours before the start. You changed your mind and can’t play. You will receive a full refund (less $1.34) if you notify the TD because you were bumped in less than 24 hours. This would not apply to others that were in for more than 24 hours. The wait lister is given extra consideration for their patience.
POOLS
Some tournaments will have different layouts for different divisions. This will require Pools to be formed that are a grouping of different divisions playing the same layouts. This could be a result of either different courses (2 courses side by side for example and both being used at same time), different days (some divisions play Saturday, some play on Sunday) or it could be because of different tee pads (2 course layouts that are actually one overlaying the other) at the same time.
While cards within the same pool may be mixed (Pro Female may be on a Mixed/Men’s Advance card if in the same Pool), cards will not be mixed across Pools. In other words, there will not be a card where some players are playing from a Long Pad and some are playing from a Short Pad. All players on the same card will be playing the same layout / course.
If one Pool is full, registration stays open until the other Pool is full. Even after that, registration will still stay open as Wait Lists develop. If you are on the wait list for a division within a certain Pool, it does not help to move to a division within the same Pool. You are still on the wait list to get into the Pool that is full. If there is an opening in the Pool that is not full, moving to a division within the other, not sold out Pool, would allow you to get in immediately and not be on the wait list.
